As a member of the Transportation and Agriculture Department, the Fleet Coordinator provides technical support and provides proactive transportation compliance duties to support the County’s overall operations. This includes, but is not limited to, maintaining Wheatland County’s Transportation Program, budgeting for fleet acquisition and asset management, licensing and regulatory compliance for commercial fleet, managing digital driver vehicle inspection reports, fleet unit files, and fleet GPS tracking systems, and auditing Wheatland County’s Transportation Program against provincial standards.

Responsibilities
  • Manage Wheatland County’s Transportation Safety Program, including updating the program as required by legislation, to ensure compliance.
  • Oversee day-to-day transportation requirements and systems.
  • Develop and maintain a fleet database for the purpose of costing, budgeting, and forecasting Wheatland County fleet needs.
  • Assist in specifying fleet units, perform public tendering, and cooperative purchasing acquisition of assets.
  • Act as Wheatland County’s designated Transportation Safety Officer and named point of contact for Alberta Transportation (Government).
  • Act as a Train-the-Trainer for National Safety Code (NSC) Compliance Training, TDG Training, Forklift Training, and other cost-effective in-house training initiatives for Wheatland County staff.
  • Oversee the management of digital DVIR forms and GPS fleet tracking systems.
  • Maintain Wheatland County’s Qualified Operators List, operator personnel files, and annual operator evaluations to ensure operator compliance.
  • Maintain Wheatland County’s fleet unit files to ensure compliance with the National Safety Code (NSC) for commercial fleets.
  • Scheduling and assistance with annual internal Transportation Audits; identify gaps and areas of improvement in the County’s Transportation Program.
  • Oversee Wheatland County’s Carrier Profile and ensure reporting to management occurs quarterly.
  • Ensure permitting is in place for County fleet operations.
  • Manage fleet related insurance claims and repairs.
  • Assist in tracking and scheduling recall/warranty work for fleet units.
  • Manage Wheatland County Public Works Shop diagnostic programs and ensure they are up-to-date.
  • Conduct internal audits and investigations, as well as support external audits or investigations.
  • Ensure corrective actions and recommendations are implemented following an audit.
  • Ensure adherence to all applicable Wheatland County policies and bylaws.

 

Occupational Health and Safety (OH&S):

  • Ensure compliance with OH&S including attendance at safety meetings, being properly trained in OH&S related topics (e.g., TDG, First Aid, etc.), and ensuring work is completed in a safe manner.
  • Promote the Health and Safety of fleet operators and ensure National Safety Code is upheld.
Qualifications
  • Certification or post-secondary education in Transportation Safety, Fleet Management, or other related discipline.
  • 3 years’ experience in a Fleet Coordinator role, or equivalent.
  • National Safety Code training/experience is considered an asset.
  • Knowledgeable in Alberta Transportation Regulations to ensure fleet safety and staff compliance.
  • Excellent communication and customer service skills.
  • Effective problem solving and decision-making skills.
  • Effective organizational and time management skills; comfortable managing many different priorities concurrently in a fast-paced environment.
  • Valid Class 1 Alberta drivers’ license an asset, minimum Class 3 required.

Expected Skills and Attributes:

  • Proficient computer skills and strong understanding of Microsoft Office (M365).
  • Proficient with Alberta Transportation Program requirements and management.
  • Familiarity with the Alberta Traffic Safety Act.
  • Familiarity with Alberta Purchasing Connection (APC) is considered an asset.
  • Familiarity with Alberta’s TRAVIS Web is considered an asset.
  • Experience working with heavy equipment is considered an asset.
Working Conditions
  • This position works a 5-day work week, Monday to Friday; hours of work: standard 40-hour work week.
  • Overtime may be required.
